urShelter · Intake
Intake that starts the animal’s record, not a new one
For intake staff and shelter managers. How an animal enters your care in urShelter, and why it keeps the history it arrived with.
Every way an animal arrives
urShelter records stray, owner surrender, transfer, seizure and emergency-boarding intakes. Each one opens custody for your organization on the animal’s own record: who holds the animal, on whose authority, and since when.
Because custody is explicit, a later foster placement, adoption or transfer moves custody instead of copying the animal somewhere new. The history your team builds is the history the next steward receives.
Microchip lookup at the point of entry
Scan or type the chip number at intake. If the animal is already known to the ecosystem, it is recognised rather than duplicated, so a stray who has a vet record, a licence or a breeder history arrives with it.
When the animal is later adopted, staff record whether the chip is registered and with which registry, on the same record.
Bulk intake for large arrivals
For a hoarding case, a transfer convoy or a seizure, bulk intake checks every row first and reports each one as ready before anything is recorded. After you take them in, each animal has its own record from the first minute.
Litters born in care
When a mother gives birth in your shelter, the litter is recorded on her record, so where the young came from is never a blank.
Coming next: scan to identify and move
Temporary QR collar tags for animals whose identity is not yet known, QR labels for kennels and locations, and moving an animal by scanning it and its destination. This is being built now and is not in your hands yet.
Questions
Does intake create a duplicate if the animal was here before?
No. Microchip lookup at entry finds an animal already known to the ecosystem, and custody opens on that existing record.
Can we take in a whole group at once?
Yes. Bulk intake checks every row and shows it as ready before anything is recorded, then gives each animal its own record.
What intake types are supported?
Stray, owner surrender, transfer, seizure and emergency boarding.
